AND PROCEDURES
Registration Changes and Transfers
The
following policies apply equally to all participants,
regardless
of any prior participation in previous events. This ensures
consistency and prevents any perception or claim of discrimination.
If you make a change or cancellation, you will still be
responsible for any non-recoverable costs, such as a non-refundable
train
ticket purchased on your behalf.
Changes
You
are responsible for contacting us promptly if you need to
make any changes or updates to your information after
registration. We will make reasonable efforts to accommodate
your request; however, we cannot guarantee that changes will
be possible, particularly if the request is made late.
All
change requests must be submitted in writing by email or
postal mail, or communicated directly with us by phone
(voicemails are not accepted). Requests will only be valid
once they have been confirmed by us.
If you cancel an item with limited availability that has
sold out (for example, a seat on a bus for a transportation
service), and we have a waiting list for that item, your
spot will be immediately offered to the next person on the
waiting list. Please note that once this happens, the same
item may not be available again in the future.
Transfers
General Transfer Rules
You may transfer your registration
- to yourself for another event within the same calendar
year; or
- to another person for any event, including the one for
which you originally registered.
Registrations cannot be transferred to events in future calendar
years.
If an event is not sold out
or has no registration limits, we will not assist you in
finding a replacement. In such cases,
you are responsible for finding someone else to transfer
your registration to yourself. Please note that you may
not
use any
Bicycle Illinois
or
Bike Wisconsin social media platforms to advertise or promote
transfer
opportunities. If you wish to transfer a registration for
a sold-out event with limited capacity, we can assist in
reselling your
registration only if a waiting list already exists. However,
we cannot guarantee
that your space will be resold.
Fees and Pricing
A flat $85.00 administrative fee applies to all
transfers.
In addition, transfers will be charged at the current registration
rate for the new event at the time of transfer. You are responsible
for paying the difference between that rate and the amount
originally paid.
Transfers made after the regular registration
deadline for the new event will also incur that event's
late registration fee.
These fees cover processing costs and exist to prevent registering
at lower rates solely to transfer to another event later as
that event draws closer.
Transportation Services
Due to the high cost and risk of charter buses, transportation services
may only be transferred to another person for the same date
and time schedule. The fees paid for transportation services
cannot be transferred
to a different transportation service schedule or any other event. We appreciate
your understanding and cooperation.
Refunds
Refunds due to transfers to another person are available
only if:
- The event is sold out and has limited capacity;
and
- Your registration is successfully transferred to another
participant.
The new participant must complete their
own registration form and submit full payment to us. After
receiving
their payment,
we will issue your refund minus the administrative
fee, price differences, and any unrecoverable costs as
appropriate.
All refunds must
be processed by the participant within the same calendar
year they are issued. Refunds not processed within
that year will
be forfeited.
