Individual Reservations and TicketsSchedules and Capacity


Whenever possible, we prefer to utilize existing local and long distance public transportation carriers to transport people and their baggage (and also their bicycles if they can be transported without requiring them being boxed).

Individual Reservations and Tickets
Sometimes registration for a specific transportation service will include your individual ticket on the appropriate public transportation carrier and sometimes it will not. We will always clearly state whether or not registration for the transportation service includes your individual ticket.

Generally, we prefer not to include individual tickets on public transportation carriers with registration. This is because it is easier for individual participants to book and print/pick up their own individual tickets themselves rather than having us deliver it to them. In addition, this allows us to easily pass on any fare increases, particularly as fares generally increase as the event gets closer.

Tickets ARE NOT Included with Registration
When your ticket on the bus or train IS NOT included with registration for a specific transportation service, you will have to purchase your own individual ticket and pick it up yourself. We strongly recommend purchasing your ticket as soon as possible to avoid any availability issues, secure the lowest rate, and assure yourself a spot!

You must still book individual ticket according to our preferred schedule (see below). If a schedule becomes full we will announce it and adjust our schedule preferences accordingly.

We highly recommend purchasing fully refundable tickets whenever possible or travel insurance when refundable tickets are not available in the event you have to cancel or we have to cancel. In the event you cancel an event, tickets may be transferable to other participants. In the event we cancel an event, we will not be responsible for any non-refundable public transportation fares participants paid for themselves. We strongly recommend purchasing travel insurance as a contingency against event cancellations.

Tickets ARE Included with Registration
When your ticket on the bus or train IS included with registration for a specific transportation service, we will purchase your ticket as soon as you register in order to guarantee that a space will be available for you (regardless of whether or not the ticket is refundable or not). Any fare increase (or decrease) will be passed on to you accordingly when we purchase the ticket.

In the rare circumstance where a carrier gets full and we can no longer able to make an individual reservation for you, we will refund you the included public carrier fare and you will have to make your own reservations. For example, if Amtrak and Greyhound both serve the stopping towns, tickets on Amtrak are $45 each, the Amtrak train fills up, and you have to now make reservations on the Greyhound bus yourself, we would refund you the $45 Amtrak train fare.

Amtrak
Amtrak tickets can be purchased in the name of the person travelling by someone who is not travelling and may be included with registration for a transportation service.

Because we prepurchase all of the reservations for fully assembled, unboxed bicycles on all appropriate trains, after you register for a specific transportation service we will transfer one of these tickets into your name. Accordingly, we will always include bicycle transportation on Amtrak trains with registration as long as we have bicycle reservations remaining.

Ticket Distribution
When Amtrak train tickets are included with registration for a transportation service, we will book the tickets for you in your name. After your ticket is booked, we will receive your "eTicket" as a PDF attachment to our e-mail receipt, which we will forward to you. To board the train, print out your eTicket and bring it along with proper identification. If your smartphone or tablet device receives e-mail and can open a PDF document, you can simply present the barcode on the screen to the conductor without printing it out.

Amtrak Group Ticket. When 20 or more participants register for a specific transportation service and Amtrak train tickets are included with registration, we may travel as a single group with only one ticket for everyone as a group and you will not receive an individual ticket. If fewer than 20 participants register for a specific transportation service and Amtrak train tickets are included with registration you will receive an individual train ticket for that specific transportation service.

Greyhound
Individual Greyhound bus tickets will not be included with registration for any transportation service because Greyhound charges an $18 "gift registration" surcharge for tickets not purchased directly by the person travelling, which we would have to pass on to you. As a result participants must always purchase Greyhound tickets on their own.

MegaBus
MegaBus tickets only have a number on them, not a name, so they can also be easily transferred to another person. Therefore they may be included with registration for a transportation service.

Schedules and Capacity
A public transportation carrier may have a limited number of schedules serving our stopping towns and each schedule may have a limited number of seats. As a result it is possible that the schedule for a long distance public transportation carrier could fill up and spaces not be available.

While we cannot guarantee the availability of spaces on any long distance public transportation carrier, we do call long distance public transportation carriers on a recurring basis so that we always know how many spaces remain on all possible schedules as a contingency against schedules becoming full.

One Schedule Between Stopping Towns
When there is only one bus or train schedule between the stopping towns, all participants will travel according to the same schedule. If this schedule fills up participants will then travel aboard our vehicles.

Multiple Schedules Between Stopping Towns
In general we prefer that participants travel on least number of schedules total. Because participants will arrive in large groups at the same time from each schedule in the arrival town, bicycle and baggage distribution will be much more efficient and this will also allows us to quickly know when a scheduled route is fully booked.

Accordingly, we will have an order of preference of all possible schedules for each transportation service. If a schedule becomes full the next preferred scheduled will be booked. If all preferred schedules fill up, we will transport participants aboard our vehicles.
